Central Contact | Tasks of the Motor Vehicle Department
The Motor Vehicle Department of the OeAI Technology Unit can be reached at the following email address: oeai-technik(at)oeaw.ac.at. They are responsible for the following tasks:
- Coordination of the continuous maintenance of all institute vehicles (maintenance, seasonal tire changes, §57a assessment)
- Allocation of institute vehicles based on the requests received and approved by the OeAI management
- Provision of all necessary general vehicle documents for business trips
- Planning of the parking spaces freely available to the OeAI
- Checking the following general terms of use
If potential users do not agree to the following general terms of use, the institute's vehicle cannot be allocated to those colleagues. Conversely, the acceptance of the vehicle key and documents leads to full consent to the following terms of use.
Needs Assessment | Ad-hoc Use
Requests for ad-hoc use of the vehicles must be sent in writing by email to oeai-technik(at)oeaw.ac.at as early as possible and can only be granted if there are no reservations for the desired period.
Vehicle Key | Vehicle Documents
Vehicle keys and documents can only be collected during normal opening hours after approval by the Motor Vehicle Department in the secretariat on the 4th floor and must be returned in person upon return of the vehicle.
Roadworthiness | Vehicle Defects | Consumable Supplies
Vehicle defects or damage to institute vehicles must be reported immediately in writing to the vehicle department.
It is necessary that drivers check the vehicle in good time before setting off to ensure that it is technically roadworthy in accordance with the Road Traffic Act (tires, lights, battery, etc.), check that the vehicle documents are complete and, if necessary, ask the vehicle department about any missing necessary equipment for the respective business trip.
The users of an institute vehicle are obliged to check the vehicle for visible damage after the trip (lights, parking damage, windshield wipers, tires, etc.) and to report this immediately upon return. In addition, the users must ensure that subsequent use is possible without restrictions - this applies in particular to cleanliness and the replenishment of used consumable supplies.
Parking the Vehicle
If the vehicle is in Vienna, it will be parked in the Radetzky underground car park (Hintere Zollamtsstraße 2A, 1030 Vienna). The parking space number should be noted in the logbook to make it easier for the next person to find it.
The license plate number acts as the parking permit and opens the gate and subsequent barrier automatically. The long-term parking card (ParkAboCard) must be kept safely in the paper folder, as it is used for entry and exit particularly in the event of a malfunction. It must be protected from heat and must not be bent.
The main entrance for pedestrians is at Radetzkystraße 2. There is an APCOA reader at one of the circular locks in the foyer. Hold the long-term parking card in front of the scanner to open the lock.
In the event of a malfunction, the long-term parking card is held in front of the NFC field until the barrier opens (i.e. do not insert it into the card slot of the barrier system).
Fuel
The vehicle must be returned with a full tank of fuel. Exceptions are short trips within the city of Vienna. If a larger tank fill is required the next time the vehicle is used, the costs will be charged to the project cost center of the last user. When refueling, refilling lubricants, etc., care must be taken to ensure efficiency and economy!
Before leaving and when returning to the Radetzky underground car park, please take a photo showing the mileage and fuel gauge and send it to oeai-technik(at)oeaw.ac.at .
Logbooks | Liability
The logbooks must be kept correct, legible, complete and accurate to the route (date, routes, distance in kilometers, legible name of the driver {no illegible signatures})! Tank fillings, and oil or water level checks must be noted with the mileage and date. A refund of fuel bills can only be made in comparison with the logbook entries.
The drivers are personally liable for any tickets or other orders from authorities regarding the period of use. If the driver in question cannot be identified, the liable person is the one in whose name the vehicle was registered for the respective business trip.
