All third-party funded projects at the OeAI must be reported to oeai-drittmittel(at)oeaw.ac.at (Karin Schuch, Dagmar Melman). The project managers keep an overview of the planned submissions and the currently ongoing projects and present these to the board of directors once a quarter. They also inform those interested in the project about funding opportunities.

Project Application Phase

The respective department head decides together with the group leader on the acceptance or rejection of the respective draft application and signs the declaration of consent together with the applicant.

  • Improvements to the concept at the request of the department head/group leader and resubmission to project management/department head
  • Preparation of the application by the researcher
  • Content and formal review of the application for compliance with the guidelines by the project management
  • Approval by department head/directorate
  • Announcement of the application and transmission to Grant Service or Third-Party Funding Management
  • Possible corrections after feedback or approval for submission from the Grant Service
  • Submission of the project application by the project management

Support from project management during application:

  • Support/assistance with project calculations
  • Calculation of in-kind benefits based on information provided by applicants
  • Each application/contract must be accompanied by the declaration of consent of the institute management, which must be signed by the applicant/project manager and the department head. Preparation of the declarations of consent of the institute management including obtaining signatures by project management
  • Communication with the Grant Service, obtaining signatures on applications/contracts

In principle, the Austrian Academy of Sciences is the research institution for applications, and the President and Vice President are to be specified as heads (regardless of signatory authority).

If the research institution is authorized to sign, two signatures are required for both applications and contracts (usually department head, deputy department head, director, deputy director).

Project Implementation and Execution

If a project is approved, the department head will again give consent to carry out the project in the approved form and will then forward the consent to the Grant Service.

  • The financial administration of the OeAW requests an internal order number for the allocation of funds from the institute using a project survey form (according to the OeAW Controlling information sheet for the initial recording of projects).
  • After assignment of the internal order number, billing of project-relevant costs via third-party funds account (see also Finance)
  • Project managers and project staff may receive »Initial Training« from the Grant Service.

Project management support in the implementation and execution of third-party funded projects:

  • Application for project numbers (internal order numbers) to correctly represent the income and expenditure in the project (creation of the initial project registration form, transmission of the relevant documents to accounting and controlling)
  • Provision of an overview of third-party funding project balances
  • Preparation of the accounts and annual statement of use to the FWF or other funding bodies
