Information for applicants

 

On this page, you can find out what personal data we process, in what way and for what purpose regarding grants, fellowships and prizes. In addition, we inform you about your rights in connection with the processing of your data.

Legal basis for data processing

The legal basis for the processing of your data is your application and, in case of approval, your acceptance of a grant or a fellowship or the acceptance of a prize from the ÖAW. Your data will be processed if it is necessary for the selection process and for implementation of the grant, the fellowship or the prize, if it rests on a legal basis or if there is a justified interest on the part of the ÖAW (art 6, par 1, lit b, c and f of GDPR, or § 2g of the Research Organisation Act, FOG).

Purpose of the data processing

We process your personal data for the purpose of performing the selection and review process and, in case of approval, implementation of the grant or the fellowship or awarding of the prize, for documentation and publicity purposes as well as to meet our reporting obligations.

Types of data

For applications made with an application form or an online form on the ÖAW internet pages, the data filled in the form in question are processed and stored. In connection with use of the database for applying, personal use data (log data) are added to this, where in particular the date and the time of logon and logoff, your IP address, the internet browser you are using as well as retrievals and changes undertaken are saved.

Forwarding of data (potential recipient categories)

Recipients of our personal data are the members of the selection committee, reviewers, administrative departments of ÖAW and government offices (e.g. relevant ministries, Court of Audit, EU). Where applicable, your data are, with your consent, forwarded to the IWM (Institute for Science of Human Life) and the IFK (International Research Centre for Humanities / Art University of Linz) in Vienna. 

Reviewers and members of a selection committee may possibly be located in a third country (outside of the EU). In that case, the ÖAW will guarantee the required statutory measures on data protection for transmission of your data to the third country.

In addition, we wish to point out that the following types of data may possibly be made available on an internet page of the ÖAW or published in available reports (§ 2g, par 1, no 2 FOG): First name, family name, academic title, gender, possibly your institution of origin or target institution as well as the title, description, length of time and additional information on the project subsidised.

Participation in a ceremony for award of a grant, fellowship or prize

With your consent, we process and publish your photo for documentation in ÖAW publications or on the internet taken at grant, fellowship or prize awarding ceremonies.

If you do not want to be shown in these photos intended for publications, please indicate this directly to the photographer at the event or stay in areas where photos (of individually recognisable persons) are not being taken.   The consent to use these photos may also be subsequently revoked by informing the department of the ÖAW in charge. Publications already published by the time revocation is received are not affected by this.

Retention period of your data

We store your data as long as this is required for implementation of the grant, the fellowship or the prize, for documentation purposes or for reporting obligations in relation to the public administration or as long as it is allowed by law.

Your rights

You will find information on your rights and the contact data of the ÖAW’s data protection officer in the Data Protection Declaration of the ÖAW.

For processing in accordance with § 2g, par 1, no 1 (retention period for subsidy records) and 2 (publications on the internet and in reports) as well as par 4 (project information and information on persons participating in the project) of FOG, the right to deletion under art 17, par 3b GDPR and the right to object under art 21, par 6 GDPR lapse as of the date of recognition of approval of the grant.
