The following information is being made available to you to supplement the Data Protection Declaration of the Austrian Academy of Sciences (ÖAW).

ÖAW puts special stress on protection of your personal data in the application procedure and ensures, by means of organisational measures, that your data is protected against accidental or deliberate manipulation and unauthorised access. 

 

Legal basis and purpose of data processing

The legal basis for processing of your personal data is your application (article 6 (1) b of the EU General Data Protection Regulation, GDPR), the exercise or defence of any eventual relevant legal claims (article 6 (1) f GDPR) and, in case of keeping your application documents on file, your consent to this (article 6 (1) a GDPR). We initially process your personal data exclusively for the purpose of carrying out processing of the application. In the event of employment, you will be informed separately about the processing of your personal data in connection with your employment.

 

Processing of your data

With written applications or applications received by email, your application data is stored in our system and used by our Human Resources Department or by persons involved (in particular the internal responsible unit/institute or, as the case may be, external experts and committee members) in application processing.

There is no utilisation or any forwarding of your application data to third parties going beyond that.

 

Storage retention period

If you cannot be offered a vacant position and if we, on the basis of your profile, arrive at the assessment that your application could also be of interest for other divisions, departments or institutes belonging to ÖAW, then your application data is normally kept on file for a period of seven months and stored in our application system, in any case until you withdraw it, provided that you have expressly consented to such official archiving.

 

Otherwise, your application is stored after completion of the application procedure as long as required for the exercise of legal claims (or due to the Equal Treatment Act) or to meet statutory obligations and thereafter deleted. This may mean a period of up to seven months. During that period of time, only the Human Resources Department can access your application data.
